Digital Workplace Services

Advised. Migrated. Adopted. Managed.

Digital workplace services are the consulting, deployment, adoption and managed services that turn collaboration technology into a working outcome. Buying Webex, rooms and devices is the easy part; getting the strategy right, migrating without disruption, driving adoption, and running it all day to day is where the value is realised or lost. Proactive provides the services that wrap the whole collaboration stack, from first advice to 24/7 operation.

As a Cisco Preferred Collaboration Partner, we advise on the roadmap, design and migrate, drive adoption, and run collaboration as a managed service, including our SLA-backed Managed Cloud Calling with 24/7 monitoring and Webex-certified engineers. One accountable partner for the platform, the rooms, the devices and the people.

Consulting and Roadmap

Advice on collaboration strategy, platform choice, Webex or Microsoft Teams, and a phased roadmap that fits your estate and budget.

Design and Migration

Room, AV and dial-plan design, PBX-to-Webex migration and device standards, delivered without dropping calls or disrupting the business.

Adoption and Change Management

Training, communications and adoption tracking, so people actually use what you deploy and the investment earns its return.

Managed Cloud Calling

SLA-backed Webex Calling operated 24/7, with Control Hub quality monitoring, fast moves-adds-changes and Webex-certified engineers, without added headcount.

Managed Rooms and Devices

Monitored meeting rooms and a managed device fleet, kept working, updated and supported through one service desk.

One Partner, One SLA

A single accountable partner and a 24/7 service desk across the whole collaboration estate, so nothing falls between vendors.

Digital Workplace Services: Making Collaboration Deliver, Not Just Deploy

Digital workplace services are the professional and managed services that plan, deliver, drive the adoption of, and operate an organisation's collaboration environment. They span the full lifecycle: consulting and strategy, design and engineering, migration and deployment, user adoption and change management, and ongoing managed services and support. Where the other solutions are the technology, this is the expertise and the operation that make the technology deliver.

Collaboration projects rarely fail on the technology; they fail on everything around it. A platform is chosen without a clear strategy, a migration drops calls, rooms are installed, but no one is trained, or a capable system is bought and then left unmanaged until quality quietly degrades. The services layer, advice, migration, adoption and day-to-day operation, is what separates a collaboration investment that pays off from one that disappoints. It is also the layer most organisations are least equipped to provide themselves, because the skills are scarce and the work is continuous.

What Digital Workplace Services Cover

A complete collaboration services engagement spans the full lifecycle:

  • Consulting and strategy: collaboration roadmap, platform choice (Webex or Teams), workspace assessment.
  • Design and engineering: room and AV design, dial-plan and architecture design, device standards.
  • Migration and deployment: PBX-to-Webex migration, room build, device rollout and number porting.
  • Adoption and change management: training, communications and adoption tracking.
  • Managed services: SLA-backed operation, a 24/7 service desk, quality monitoring and MACD.
  • Optimisation: quality tuning, reporting and lifecycle refresh.

Why the Services Matter as Much as the Technology

  • Technology is not enough: the outcome depends on strategy, adoption and operation.
  • Skills are scarce: collaboration and voice expertise is hard to hire and keep.
  • Migrations are risky: moving off a PBX or rolling out rooms needs experience to do cleanly.
  • Adoption decides return: an unused platform is a wasted spend.
  • Quality degrades unmanaged: without monitoring, call and room quality slips unnoticed.
  • Predictable cost, no headcount: a managed service replaces building an in-house team.

The pattern is familiar. An organisation invests in Webex, or a set of meeting rooms, or a cloud calling platform, and assumes the hard part is done. Months later, adoption is patchy, call quality is a mystery no one is measuring, changes pile up because no one owns them, and the return on a significant investment is unclear. None of this is a technology failure; it is the absence of the services around the technology, the strategy, the adoption, and the operation.

Managed services in particular change the economics. Running collaboration well means watching quality around the clock, executing moves, adds and changes quickly, handling incidents and escalating to Cisco and carriers, and keeping the whole thing current, work that needs scarce, specialised people. Building that team in-house is expensive and hard to sustain. A managed service provides it as a predictable subscription, with certified engineers and defined SLAs, so quality and uptime are owned without adding headcount.

Proactive provides the full range of digital workplace services, from consulting and design through migration and adoption to fully managed operation. Our SLA-backed Managed Cloud Calling runs Webex Calling for you with 24/7 monitoring, Control Hub quality insight and Webex-certified engineers, and we extend the same managed approach to rooms and devices. As a Cisco Preferred Collaboration Partner, we make sure collaboration is not just deployed, but delivers every day.

The Collaboration Services Lifecycle

Digital workplace services span the full life of a collaboration environment. The table below sets out the stages and what Proactive does at each.

Stage What Proactive does
Advise Assess needs, choose the platform (Webex or Teams), and build the roadmap
Design Room, AV and dial-plan design, and device standards
Deploy and migrate PBX-to-Webex migration, room build, device rollout and number porting
Adopt Training, change management and adoption tracking
Manage 24/7 service desk, quality monitoring, MACD and SLAs
Optimise Reporting, quality tuning and lifecycle refresh

You can engage us for the whole lifecycle or a single stage, a migration, an adoption programme, or ongoing management. Proactive fits the engagement to what you need.

Self-Managed or Managed by Proactive

Once collaboration is live, it has to be run. Self-managed cloud calling means your team owns monitoring, changes and incidents; managed cloud calling hands those to a provider under an SLA. The table below compares the two, using cloud calling as the example.

Aspect Self-managed Managed by Proactive
Monitoring You watch, when there is time 24/7 NOC, with MOS, jitter and packet loss tracked
Changes (MACD) Ad hoc, by your team Templated, SLA-backed workflow
Incidents You chase Cisco and carriers Escalated to Cisco TAC and carriers against SLA timers
Expertise Hire and retain scarce skills Webex-certified engineers on tap
Reporting Build your own Weekly dashboards and scorecards
Headcount Grows with the estate No added headcount

Most enterprises that lack a dedicated voice and collaboration team choose managed services for exactly these reasons. Our Managed Cloud Calling service sets this out in full.

Collaboration Managed Services Across India: Skills, Scale, and Compliance

For Indian enterprises, the services layer often matters more than the technology choice, because the constraints are local: a shortage of collaboration and voice engineers, multi-city estates that need consistent standards, and the DoT and OSP compliance that cloud calling must satisfy. Running this well in-house is difficult, which is why a managed partner with Webex-certified engineers across India and standardised, repeatable delivery has become the practical answer.

How to migrate multiple sites without disruption, how to reach adoption across a distributed workforce, and how to keep quality and compliance in hand day to day, shape the right approach here rather than on a datasheet. Proactive delivers digital workplace services across manufacturing, BFSI, healthcare, IT and ITeS and GCC customers in Delhi, Mumbai, Bengaluru, Pune, Hyderabad and other major cities, with the local presence to activate and support sites quickly, and India's first Webex Calling deployment in manufacturing, delivered for Lohia Corp, behind us.

Proactive Data Systems: One Accountable Partner, End to End

The technology can be bought from anyone. The advice to choose well, the discipline to migrate cleanly, the programmes that drive adoption, and the operation that keeps quality high day after day are what actually determine whether collaboration works, and they are what Proactive provides.

Proactive brings over three decades of enterprise delivery, Webex-certified collaboration engineers, an ISO 9001:2015 quality system and a 24/7 service desk. As a Cisco Preferred Collaboration Partner certified across all five Cisco architectures, Collaboration, Networking, Security, Cloud and AI, and Services, we advise, deploy, and manage the full collaboration environment.

Digital workplace services wrap the whole collaboration stack. They plan and run the Cloud Calling and Unified Communications platforms, deliver and manage the Video Conferencing and Room Systems and Meeting Room AV, and supply and support the Endpoint and Remote Work Devices. Our flagship managed offering, Managed Cloud Calling, operates Webex Calling to strict SLAs; the same managed approach extends to rooms, devices and the wider environment.

From first advice through migration, adoption and fully managed operation, Proactive makes sure your collaboration investment is not just installed, but earns its return, every day.

What are digital workplace services?

Digital workplace services are the consulting, deployment, adoption and managed services that turn collaboration technology into a working outcome. They cover the full lifecycle: strategy and platform choice, room and dial-plan design, PBX-to-Webex migration, user adoption and change management, and ongoing managed operation with monitoring and SLAs. Where the platforms and devices are the technology, these services are the expertise and operation that make it deliver. Proactive provides them across the whole collaboration stack.

What is Managed Cloud Calling?

Managed Cloud Calling is Proactive's service for running Webex Calling on your behalf. Webex provides the cloud platform; Proactive operates the day-to-day voice layer: 24/7 monitoring of call quality (MOS, jitter and packet loss) in Control Hub, moves, adds and changes to defined SLAs, incident handling with escalation to Cisco and carriers, and Webex-certified engineers, all without you adding headcount. It is detailed on our Managed Cloud Calling site. It turns a calling platform you own into a service whose quality and uptime we own.

Why use a managed service instead of running collaboration ourselves?

Because running collaboration well is a continuous, specialised job. It means watching call and room quality around the clock, executing changes quickly, resolving incidents and chasing carriers, and keeping everything current, work that needs scarce, certified people. Building and retaining that team in-house is costly and hard. A managed service provides it as a predictable subscription with defined SLAs, so you get better quality and uptime without the headcount and the hiring. Most enterprises without a dedicated collaboration team choose this route.

Do you handle PBX-to-Webex migration?

Yes. PBX-to-Webex migration is one of our core services. Proactive assesses your current telephony, numbers, dial plan and call flows, designs a compliant Webex Calling architecture, with PSTN delivered through Cloud Connected PSTN or a Local Gateway in line with TRAI norms, ports the numbers, rebuilds the dial plan, and cuts over site by site so the phones keep working throughout. It is covered in depth under Cloud Calling, and our Managed Cloud Calling service runs it afterwards, including at Lohia Corp.

What is adoption and change management, and why does it matter?

Adoption and change management is the work of getting people to actually use a new collaboration platform: identifying champions, training users by role, communicating the change, and tracking usage to address where adoption lags. It matters because a platform no one uses is wasted money, and adoption, not technology, is usually what decides the return on a collaboration investment. Proactive runs adoption alongside deployment so the new way of working takes hold rather than the old tools lingering.

Do you support both Webex and Microsoft Teams?

Yes. Proactive leads with Cisco Webex but delivers and supports Microsoft Teams environments too, including the interoperation between them, Webex Calling telephony for Teams users, and rooms that run either platform. Our services, consulting, migration, adoption and managed operation, apply whichever platform you standardise on. We design the right combination for your estate rather than forcing a single choice.

What SLAs do you offer?

Managed services are delivered to defined service levels. Tiers range from business-hours to 24/7 coverage, with priorities from P1 to P4, each defining response and restoration targets, escalation paths to Cisco TAC and carriers, and root-cause commitments for major incidents. The right tier depends on how critical the service is to your business. Proactive agrees the SLAs up front so quality and uptime are measurable and owned.

Can you manage our meeting rooms and devices too?

Yes. The same managed approach we apply to cloud calling extends to meeting rooms and devices: monitoring room and device health, catching failures before the next meeting, applying updates, executing changes, and supporting users, all through one service desk. For an organisation with many rooms and a large device fleet, managing them as a service keeps them reliably working rather than failing at the worst moment. It is part of running the whole collaboration estate as one.

Do you have Webex-certified engineers in India?

Yes. Proactive has Webex-certified engineers across India, with regional presence to activate and support sites quickly in and around Delhi, Noida, Gurgaon, Pune, Bengaluru, Hyderabad and Mumbai. Local, certified engineering is a large part of why enterprises use us for delivery and managed services, rather than a remote or generalist provider. It means faster activation and support, grounded in Indian compliance and carrier realities.

Can we engage you for just one part, like a migration or adoption?

Yes. You can engage Proactive for the full lifecycle or for a single stage, a strategy and platform assessment, a PBX-to-Webex migration, an adoption programme, an AV build, or ongoing managed services on an existing deployment. Many customers start with one engagement and expand as they see the value. We fit the scope to what you need rather than requiring an all-or-nothing commitment.

How does pricing for managed services work?

Managed services are packaged as a predictable monthly or annual fee that covers monitoring, operations and SLAs, on top of the platform subscription, which is licensed per user. The model turns a large capital expense and unpredictable in-house running cost into a predictable operating cost, and it scales with your estate without adding headcount. Consulting, design and migration are typically scoped as project engagements. Proactive sizes each to your environment and the service level you need.
