A video conferencing room system is the set of hardware that equips a meeting room or conference room for video calls: a camera, a codec or compute device, one or more displays, microphones and speakers, and a touch controller to run the meeting. Modern room systems join a Webex or Microsoft Teams meeting with a single touch, use AI cameras to frame and follow whoever is speaking, and are managed centrally as a fleet. What is a video conferencing room system?

What is the difference between Webex Rooms and Microsoft Teams Rooms?

They are two platforms the same class of room hardware can run. Webex Rooms are meeting rooms running Cisco's Webex software; Microsoft Teams Rooms (MTR) are rooms running Microsoft's Teams meeting software. The important point is that Cisco's certified room devices can run either, natively, so the choice is about which platform your organisation standardises on, not which hardware you buy. Proactive helps you decide per room and configures it accordingly.

Can one room system run both Webex and Microsoft Teams?

Cisco's room devices are certified for both. A device runs either RoomOS, which is Webex native and joins Microsoft Teams, Zoom and Google Meet with one tap, or a native Microsoft Teams Rooms mode. Which mode a room uses is set when it is provisioned, not toggled per meeting, so a mixed-platform organisation can still standardise on one set of Cisco devices. Proactive configures each room for the mode that fits how it is used.

What room system do I need for a huddle room, conference room or boardroom?

As a rough guide: a huddle room for two to four people suits an all-in-one device like the Cisco Room Bar; a standard conference room for six to twelve suits a Cisco Room Bar or Room Bar Pro; and a boardroom or large room needs a Room Bar Pro, or a codec-based system, with integrated audio and displays sized to the space. Personal and focus rooms suit a Cisco Desk device. The right choice also depends on room shape and acoustics, which is why Proactive surveys the room first.

What is a room kit?

A room kit is a packaged video conferencing system for a meeting room, typically a camera, codec and often integrated microphones and speakers, designed to turn a room into a one-touch video meeting space. Cisco's current Room Series, from the Room Bar to the Room Bar Pro and codec-based systems, covers everything from small rooms to large boardrooms. A room kit is the core of most meeting-room deployments, paired with displays and a touch controller.

What Cisco video devices do you work with?

Proactive works across Cisco's collaboration device range: the Cisco Room Bar and Room Bar Pro for meeting rooms, Cisco Board Pro for interactive whiteboarding and meetings, the Cisco Desk and Desk Mini for personal and focus spaces, Cisco Room Navigator touch controllers, and Cisco cameras and audio. We also deliver Crestron Flex room systems. We select and combine these to fit each room and platform.

How is this different from Meeting Room AV & Integration?

This card is the turnkey video meeting room, the camera, codec, displays, audio and controller that make a standard meeting space work on Webex or Microsoft Teams. Meeting Room AV and Integration covers the broader and more bespoke audio-visual build: larger and non-standard spaces like auditoriums and town-hall rooms, video walls and digital signage, custom audio with brands like Shure and JBL, and room control and automation with Crestron. In short, a standard video room sits here; a complex, custom AV project sits there. Proactive delivers both.

How is this different from unified communications?

Unified communications is the software, the Webex or Teams platform people use to call, meet and message from any device. Video conferencing room systems are the hardware that brings that software into a physical meeting room. UC is what runs the meeting; the room system is what you walk into to join it. They work together: the room is where the UC platform meets the shared space. Proactive delivers both as connected solutions.

What are AI camera features like speaker tracking?

AI camera features automatically improve how a room looks to remote participants. Speaker tracking (Speaker mode) follows and frames whoever is talking; auto-framing (Frames) keeps everyone in shot as people come and go; presenter tracking (PresenterTrack) follows a presenter as they move. On Cisco devices these run on the camera itself, so remote participants see the right person clearly, rather than a wide, static shot of a distant table. They are a big part of giving remote attendees a fair experience.

Can you manage our meeting rooms after installation?

Yes. Proactive monitors and manages meeting-room fleets centrally, watching device health, catching a room that has gone offline or lost a display before the next meeting, applying updates, and supporting users, backed by a 24/7 service desk. Do you standardise rooms across multiple sites?

Yes, and it is one of the main reasons enterprises use an integrator. Proactive standardises room designs by type, so a huddle room or a boardroom looks and behaves the same in every city, which makes them easier to use, support and manage. Users get the same one-touch experience wherever they are, and IT supports a small number of standard designs rather than a different setup in every office. The cost of a video conferencing room depends on the room size and type, the devices chosen (an all-in-one huddle device versus an integrated boardroom system), the number of displays, any custom audio or control, and whether you add managed services.
